Privacy Policy

Effective October 25, 2026

The short version

  • We collect what it takes to track your crew's licenses and send alerts, and not much else.
  • We don't sell personal information, and we don't share it for anyone else's marketing.
  • Square handles your card. We never see or store card numbers.
  • Our own visit counter uses no cookies. The Google Ads tag on our marketing pages does (details).
  • Email overton@gettradeshield.cloud for a copy of your data or to have it deleted.

TradeShield is run by Stewart Legacy Ventures LLC, 1919 Taylor St, Ste F #1492, Houston, TX 77007 ("we", "us"). This policy covers www.tradeshield.cloud, the TradeShield app, the free license lookup pages, and the emails we send.

01What we collect

When you sign up and use the app

  • Your account: your name, work email, company name, crew size, and any office or owner phone numbers you add. Passwords are stored by our login provider in hashed form; we can't read them.
  • Your crew: technician names, emails and phone numbers, and their license types, numbers and expiration dates, whether you type them in or import a spreadsheet.
  • Team logins: the email and role of everyone you invite, such as an office manager.
  • Billing: Square gives us your customer and subscription IDs, the email used at checkout, and the subscription's status. Your card details stay with Square.
  • Alert history: which alert went to whom, when, by which channel, and whether it was delivered.
  • Messages you send us, and anything you choose to send with them, like a roster file.

Public license records

We read the Texas Department of Licensing and Regulation's (TDLR) public license data, published on the Texas Open Data Portal: license holder names, license numbers and types, status, expiration dates, county and business names. We use it to check the licenses you track and to power the free lookup. If your public record is wrong, TDLR is the place to correct it; we pick up the change on the next daily update.

When you use the free license lookup

  • Your searches go from your browser straight to the Texas Open Data Portal. We don't store them.
  • If you set a reminder, we store your email, the license you picked (holder, number, type, business, county, expiration date), the page you signed up on, whether you ticked "I keep track of licenses for a crew", and a one-way hash of your IP address that we use only to block abuse.

When you visit the site

Our own counter records the page, the site that sent you, any campaign tags in the link, and whether you're on a phone or a computer. To count unique visitors without cookies, it keeps a code made by scrambling your IP address and browser together with the date. The code changes every day, so it can't follow you from one day to the next, and we never store the IP address itself.

02How we use it

  • To run TradeShield: check every license against TDLR each morning and send renewal alerts to the tech, the office and the owner under your company's alert settings.
  • To bill you through Square and keep your subscription status current.
  • To send the free reminders you asked for, and if you ticked the crew box, an occasional email about tracking a whole crew with TradeShield.
  • To answer your questions and help set up your account.
  • To keep the service secure and stop abuse.
  • To see, in totals, how people find and use the site, and which ads lead to signups.

We don't sell personal information, rent it out, or share it with other companies for their marketing.

03Cookies and tracking

  • Our visit counter: no cookies, and nothing in it identifies you (see above).
  • Staying logged in: the app saves your login session in your browser's storage. It also remembers your language choice (English or Spanish) and the details you typed into the signup form, so you don't have to type them twice.
  • Google Ads: our homepage and license lookup pages load Google's ad tag. It sets cookies so we can see which ads lead to signups, and Google may use them to show TradeShield ads to people who visited before. You can turn off personalized ads at adssettings.google.com.
  • Fonts: some pages load fonts from Google Fonts, so Google receives your IP address when they load.

04Who we share it with

Only the companies that run parts of TradeShield for us, and only what each one needs:

CompanyWhat they do for usWhat they receive
SquareCard payments and the subscriptionYour card details (entered on Square's page, not ours), name and checkout email
SupabaseDatabase and loginsThe data stored in your account

ResendDelivers alert and reminder emailsRecipient addresses and the email content
GoogleAd measurement, web fonts, our business emailVisit and ad-click data from the ad tag, IP addresses when fonts load, and emails you send us
Texas Open Data PortalPublic TDLR license dataThe searches you type into the free lookup
Twilio (once text alerts launch)Sends text alertsPhone numbers and message content

We'll also share information if the law requires it, to protect people's safety or our rights, or as part of selling or merging the business, in which case this policy keeps applying to your data.

05Text messages

Text alerts aren't live yet. When they are, we'll text only numbers whose owners agreed to get license alerts. How often depends on how many licenses are coming due. Message and data rates may apply. Reply STOP to opt out or HELP for help.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text message opt-in data and consent are never shared with anyone else.

06Emails from us

  • License alerts are part of the service your company pays for. If you're a tech or office manager and don't want them, ask your company's owner to change the alert settings, or contact us.
  • Free lookup reminders have a one-click unsubscribe link in every email.
  • Apart from the crew-tracking email mentioned above, we don't put anyone from the app or the lookup on a marketing list.

07How long we keep it

  • Account data stays while your subscription is active. After it ends, we keep it for 90 days in case you come back, then delete it. Ask us and we'll delete it sooner.
  • Billing records stay as long as tax and accounting rules require.
  • Raw visit records are deleted after 90 days. We keep only daily totals (visitors, page views, top pages and sources) after that.
  • Free lookup reminders stay until you unsubscribe. After that, we keep only your email and the unsubscribe date, so we never email you again by mistake.

08Your choices

You can ask us to:

  • show you the personal information we hold about you, or send you a copy;
  • fix anything that's wrong;
  • delete it;
  • stop using it for targeted advertising.

Email overton@gettradeshield.cloud. We'll confirm the request comes from you, then answer within 45 days. If we turn a request down, reply to our answer and we'll take another look. Texas residents have these rights under the Texas Data Privacy and Security Act, and we offer the same to everyone. If your company added you to its TradeShield account, you can also ask the company directly, since it controls that data.

09Security

The site and app use encrypted connections (HTTPS). Each company's data is walled off in the database, so one company's users can't see another's. Only the people who run TradeShield can reach the systems behind it. No system is perfectly secure, though. If we learn of a breach that affects your information, we'll tell you as the law requires.

10Everything else

  • TradeShield is a business tool for contractors. It isn't meant for anyone under 18, and we don't knowingly collect children's information.
  • Our servers are in the United States.
  • If we change this policy, we'll post the new version here with a new date. If a change matters, we'll email account owners before it takes effect.
  • Questions: overton@gettradeshield.cloud, or write to Stewart Legacy Ventures LLC, 1919 Taylor St, Ste F #1492, Houston, TX 77007.
